PageUp Technical Steps to Completing an Evaluation

These step-by-step instructions are intended to demonstrate the complete process of submitting performance evaluations for classified and unclassified staff in PageUp. This process includes steps which require action from the manager, employee, and the manager's manager (one-up manager). The responsible party will be noted in the step and each section will be labeled as:

  • COMPLETED BY MANAGER
  • COMPLETED BY EMPLOYEE, OR
  • COMPLETED BY ONE-UP MANAGER

Goal Setting Process - PageUp Technical Steps 1 - 3


STEP 1: Goal Setting: Completed by Manager

  1. The manager receives an email prompting them to start the performance review for each employee. 
    NOTE: The "from" email address is performance-969@mail.pageuppeople.com and may display as performance@MiamiOH.edu. The email contains a link to the review and introduces the manager to the process. The manager clicks the link to go to the review. The manager should contact Human Resources or Academic Personnel if they receive a report for someone-up they don't supervise.
  2. The link takes the manager to the first page of the review. The manager clicks Next at the bottom right of the page after reading the information.
  3. The manager is taken to the Goals page. Pay particular attention to the goal setting instructions. Each goal requires a title, measure and target completion date.
  4. Target dates default to the end of the review, but the manager can shorten them or extend them past the review deadline if the goal spans multiple years. The manager will evaluate the progress of the goal if the target completion date is beyond the review end date.
  5. Managers must develop at least three, but not more than nine goals for each employee. Three goals will appear on the page. Click Add Item at the bottom left of the page to add more goals. Each goal must have a title and a measure.
  6. After entering all goals for the current review cycle, the manager clicks Next at the bottom right of the page.
  7. The manager is taken to the Competencies page. The manager does not rate the employee on the competencies at this time, but should read the definitions and click Next at the bottom right of the page.
  8. The manager is taken to the Next Steps page. The manager reviews it and clicks Go to next step.
  9. The manager is taken to their Dashboard. The manager logs out of the system by clicking on their name in the top right corner of the page and selecting Logout.

STEP 2: Review, Revise and Confirm Goals: Completed by Employee

  1. The employee receives an email prompting them to review, reflect and modify goals entered by their manager.
    NOTE: The "from" email address is performance-969@mail.pageuppeople.com and may display as performance@MiamiOH.edu. The email contains a link to the review. The employee clicks the link to go to the review.
  2. The link takes the employee to the first page of the review. The employee clicks Next at the bottom right of the page after reading the information.
  3. The employee is taken to the Goals page. Pay particular attention to the goal setting instructions. Each goal requires a title, measure, and target completion date. The employee should review the goals entered by their manager and make any changes as necessary.
  4. Each employee must have at least three but not more than nine goals. A minimum of three goals entered by the manager will appear on the page. Click Add Item at the bottom left of the page to add more goals. Each goal must have a title and a measure.
  5. After reviewing and adding any additional goals for the current review cycle, the employee clicks Next at the bottom right of the page.
  6. The employee is taken to the Competencies page. The employee does not rate themselves on the competencies at this time, but should read the definitions and click Next at the bottom right of the page.
  7. The employee is taken to the next steps page. The employee reviews it and clicks Go to next step.
  8. The employee is taken to their Dashboard. The employee logs out of the system by clicking on their name in the top right corner of the page and selecting Logout.

STEP 3: Discuss and Approve Goals: Completed by Manager

  1. The manager receives an email prompting them to discuss and finalize the goals established. Discussion at this step is critical to ensure that managers and employees understand and agree upon the goals. The email contains a link to the review. After the goals discussion has occurred, the manager clicks the link to go to the review.
  2. The link takes the manager to the first page of the review. The manager clicks Next at the bottom right of the page after reading the information.
  3. The manager is taken to the Goals page. The manager should review the goals and make any changes as necessary.
  4. Managers must develop at least three but not more than nine goals for each employee. Click Add Item at the bottom left of the page to add more goals. Each goal must have a title and a measure.
  5. After confirming all goals for the current review cycle, the manager clicks Next at the bottom right of the page.
  6. The manager is taken to the Competencies page. The manager does not rate the employee on the competencies at this time, but should read the definitions and click Next at the bottom right of the page.
  7. The manager is taken to the Next Steps page. The manager should review the goals entered carefully because they will not be able to edit them after this step. The manager clicks Go to Next Step.
  8. The manager is taken to their Dashboard. The manager logs out of the system by clicking on their name in the top right corner of the page and selecting Logout.

Mid-Year Review Process - PageUp Technical Steps 4 - 5

STEP 4: Mid-Year Employee Self Assessment: Completed by Employee

  1. The employee receives an email prompting them to complete a self-assessment of progress toward goals established for this review and competencies expected of all staff. The email contains a link to the review. The employee clicks the link to go to the review.
  2. The link takes the employee to the first page of the review. The employee clicks Next at the bottom right of the page after reading the information.
  3. The employee is taken to the Goals Evaluation page. The employee should carefully read the rating descriptions, keeping in mind that "Meets Expectations" is how most employees should be rated for their goals and competencies.
  4. The employee scrolls down to the goals set earlier. Two sets of five stars with ratings attached are to the right of each goal. Hover over each star to see the rating associated with it. The employee chooses one of the ratings in the set of stars directly below their own name.
  5. The employee is also required to add a comment on each goal. Select Add Comment and enter text into the comment field. The dropdown arrow located directly next to the Add Comment button allows the employee to upload file attachments or link Journal Entries. Please refer to the Journal Entries instructions for more information on Journal Entries.
  6. The employee selects Save and Share.
    NOTE: Do not select Save as Private. Private comments will not be viewable to the manager or one-up manager and will not satisfy the comment requirement.
  7. The employee continues to rate and comment on all goals set earlier.
  8. At the bottom of the page, the system will calculate an average of the goal ratings. The employee selects Next at the bottom right of the page.

  15. The employee is taken to the next steps page. The employee reviews it and clicks Go to Next step.

STEP 5: Mid-Year Manager Assessment and Discussion: Completed by Manager

  1. The manager receives an email prompting them to complete an assessment of the employee's progress toward goals established for this review and competencies expected of all staff. The email contains a link to the review. The manager clicks the link to go to the review.
  2. The link takes the manager to the first page of the review. The manager clicks Next at the bottom right of the page after reading the information.

Year-End Review Process - PageUp Technical Steps 6 - 10

STEP 6: Year-End Employee Self Assessment: Completed by Employee

Please refer to the Journal Entries instructions for more information on Journal Entries.
  6. The employee selects Save and Share.
    NOTE: Do not select Save as Private. Private comments will not be viewable to the manager or one-up manager and will not satisfy the comment requirement.

  14. At the bottom of the page, the system will calculate an average of the competency ratings. The employee selects Next at the bottom right of the page.
  15. The employee is taken to the NextSsteps page. The employee must enter final comments for their review. The employee can select the Add a Comment link in the red error message displayed at the top of the page or the employee can scroll down to the final comments section.
  16. After entering final comments, the employee clicks Go to next step.
  17. The employee is taken to their dashboard. The employee logs out of the system by clicking on their name in the top right corner of the page and selecting Logout.

STEP 7: Year-End Manager Assessment: Completed by Manager

  4. The manager scrolls down to the goals set earlier. Two sets of five stars with ratings attached are to the right of each goal. Hover over each star to see the rating associated with it. The manager chooses one of the ratings in the set of stars directly below their own name. If the rating has not changed since the mid-year assessment, the manager does not need to choose a star.
  5. The manager is also required to add a comment on each goal. Select Add Comment and enter text into the comment field.   16. After adding final comments, the manager selects Go to next step.
  17. The manager is taken to their dashboard. The manager logs out of the system by clicking on their name in the top right corner of the page and selecting Logout.

STEP 8: One-Up Manager Sign Off: Completed by One-Up Manager

  1. The one-up manager receives an email when reviews are awaiting their approval.
    NOTE: The "from" email address is performance-969@mail.pageuppeople.com and may display as performance@MiamiOH.edu. The email contains a link to the performance management system. The one-up manager selects the link.
  2. The one-up manager is taken to their dashboard. The one-up manager selects Team Performance Reviews.
  3. If the one-up manager has multiple reviews listed here, they can select One-Up Manager Sign-Off from the Review process step dropdown menu and hit Search to see which reviews are awaiting at this stage of the process. Make sure you select the One-Up Manager Sign-Off under the Performance Review section.
  4. The one-up manager selects Open Review to the right of the employee's name.
  5. The one-up manager is taken to the instructions page. After reading through them, the one-up manager clicks Next in the bottom right of the page.
  6. The one-up manager is taken to the goals page. The one-up manager cannot edit this information, but should read through it carefully. At the bottom right of the page, the one-up manager clicks Next.
  7. The one-up manager is taken to the competencies page. The one-up manager cannot edit this information, but should read through it carefully. At the bottom right of the page, the one-up manager clicks Next.
  8. The one-up manager is taken to the next steps page.
  9. The one-up manager makes comments in the final comments field toward the bottom of the page. After making comments, the one-up manager chooses I Acknowledge to the right of the page. The button is located in a yellow box.
  10. The one-up manager is taken back to the My team performance reviews page. The one-up manager can view summary reports by clicking View report to the right of employees' names. The one-up manager selects their name at the top right of the page to logout.

STEPS 9 and 10: Year-End Discussion, Manager Sign Off and Employee Sign Off

To be completed by Manager:

  1. The manager receives an email indicating that the one-up manager has signed-off on the employee's performance review. The manager should follow the instructions in the email and when they have completed the discussion, they should click the link in the email to finalize the year-end review.
  2. The manager is taken to the instructions page. After reading through them, the manager clicks Next in the bottom right of the page.
  3. The manager is taken to the goals page, but cannot edit information. The manager scrolls to the bottom of the page and selects Next at the bottom right of the page.
  4. The manager is taken to the competencies page, but cannot edit information. The manager scrolls to the bottom of the page and selects Next at the bottom right of the page.
  5. The manager is taken to the next steps page. The manager has one final opportunity to make any comments. After making any comments, the manager selects I acknowledge to the right of the page.
  6. The manager is taken to their dashboard. The manager logs out of the system by clicking on their name in the top right corner of the page and selecting Logout.

To be completed by Employee:

  1. The employee receives an email prompting them to sign-off on their performance review. The email contains a link to the review. The employee clicks the link to go to the review.
  2. The employee is taken to the instructions page. After reading through them, the employee clicks Next in the bottom right of the page.
  3. The employee is taken to the goals page. The employee should carefully read the rating definitions before scrolling to the goals. The employee should ensure that all goals and accompanying ratings match what was discussed during the final performance review conversation that occurred between the employee and manager. Each rating is in a gray box to the right of each goal. The manager that completed the rating is listed above the rating.
  4. The employee should make a note of any differences as they will have a final opportunity to comment on the review later.
  5. The employee selects Next at the bottom right of the page.
  6. The employee is taken to the competencies page. The employee should carefully read the rating descriptions before scrolling to the competencies. The employee should ensure that all comments and accompanying ratings match what was discussed during the performance review conversation that occurred between the employee and manager. Each rating is in a gray box to the right of each goal. The manager that completed the rating is listed above the rating.
  7. The employee should make a note of any differences as they will have an opportunity to comment on the review later.
  8. The employee selects Next at the bottom right of the page.
  9. The employee is taken to the next steps page. The employee should carefully read any final comments left by the manager and the one-up-up manager at the bottom of the page. The employee should then edit their own final comments on the performance review.
  10. The employee selects I acknowledge to complete the performance review. Sign-off is merely an acknowledgement, and does not mean you agree with the performance feedback you have received.
  11. The employee is taken to their dashboard. The employee logs out of the system by clicking on their name in the top right corner of the page and selecting Logout.
  12. The employee receives an email indicating that their performance review is complete.
  13. The manager also receives an email indicating that the performance review is complete.
