Photography Requests

We place top priority on providing support that enhances recruitment, retention, and external support for the university. Showcasing newsworthy events and university-sponsored events remains a priority.

Due to team availability and increased demand, lower priority events are subject to coverage. If our team is unavailable, we can provide a reputable freelance photographer — standard rates apply. Depending on the project, there may be a cost associated paid by the requesting department and budget approval from the department chair is required before production can begin.

Photoshelter

In order to make it easier for the campus community to use quality images, University Communications and Marketing provides images accessible to the entire Miami campus community via Photoshelter. Access to photos beyond those available for public use requires a registered account. These digital files are intended for official use, and may not be sold, licensed for sale or published outside official university purposes without permission from University Communications and Marketing.

Flickr

The Regionals Office of Marketing and Communications maintains a photography archive from internal and external Regional events as well as utilizing Flickr to house photography available to the Miami community.

Stock

Try to avoid stock photography when possible.

Please note: Just because an image is online, doesn’t mean you have permission to use it. Be sure to avoid breaking copyright rules.

Release Forms

All photographers and videographers taking photos and/or videos on University property or of University events must obtain appropriate signed release forms from any student, faculty member, staff person, or member of the public who is visibly recognizable in the photo or video. Crowd scenes where no single person is the dominant feature are exempt.

Timelines

We encourage you to start planning early for copy or content development, design, client review, editing, printing, vendor quotes, and schedules to maximize your success!

Timelines depend on complete information being submitted along with your project proposal request, and that the client review process is completed within two business days. If reviews are not completed and returned within that timeframe, this extends the time to complete the project.

Projects requiring multiple deliverables will REQUIRE a concept meeting before the request is accepted and the project timeline is assigned.

Disclaimer - During high volume times of the semester, a few additional days will be needed for project completion.

In-house Photography

This includes shooting, light photo editing, and digital delivery.

2 weeks

Videography Requests

Video is one of the most engaging formats for storytelling. However, video production is also a complex, time intensive, and often expensive process, especially given the high standards for any Miami University material.  Please consider carefully whether video is the best way to communicate your message. 

The Regionals Office of Marketing and Communications recommends that all videos should be hosted on the Regionals YouTube page.

All requests for videography must be submitted using the request form. You should provide as much detail as possible when you submit your request. The time required for a shoot will be determined by the complexity of the subject matter.

Cost

Voice-Over

Many videos are accompanied by an engaging voice to explain or showcase your project. For example, you may need to create a video explaining how to navigate a website or application with narration. When voice-over talent is used, it is suggested that the person reading the copy be as conversational as possible. Avoid hard-sell, “announcer-y” deliveries. Have the person speak slowly and deliberately to ensure good diction and audibility.

Due to increased demand, professional voice over requests are subject to coverage. If our team is unavailable to record or edit voice over, we can provide you a reputable freelance voice actor — standard rates apply. Associated costs paid by the requesting department and budget approval from the department chair is required before production can begin.

Live Streaming

Due to the university’s policy on accessibility, we are unable to provide live streaming coverage at this time. 

Closed Captioning

Due to the university’s policy on accessibility, closed captions (CC) are required in all university branded videos. Closed captions are a textual representation of the audio within a media file. They make video accessible to deaf and hard of hearing by providing a time-to-text track as a supplement to, or as a substitute for, the audio. They can be enabled or disabled.
