COVID-19 FAQ

The message below was sent to all Oxford Campus undergraduates on March 16, 2020 by the Dean of Students.

Dear Miami Students,  
 
As you know, the COVID-19 situation has been changing on a near-daily basis. The Governor of Ohio announced yesterday that domestic travel may soon be restricted by the federal government. With that news, we strongly urge you to promptly leave campus while you are able to do so. There may come a time in the coming days or weeks when you are not able to leave campus due to changing state and federal orders.  
 
Residence Hall Information
In light of the statewide emergency declaration, the residence halls will now be closing  Saturday, March 21, at 5 p.m. Only students who have applied for and received housing exceptions will be permitted to stay. If you cannot go home you must submit the exception form, by March 18 at 5 p.m. Decisions will be communicated on a rolling basis starting  Tuesday, March 17.  
 
For the students who receive permission to stay on campus through the end of the semester, you should be prepared to move out of your current room by Saturday, March 21. We will consolidate students into fewer residence halls over spring break for the duration of the semester. 
 
For those who have already left campus, do not return until you have been directed to do so. In the coming weeks, we will provide guidance for students who have already left to retrieve belongings and finish moving out. Please be patient as we develop these plans. We will let you know as soon as we have more information on the timeline and process. You will still be eligible for the partial refund for room and board, even if your belongings remain in the room, as long as you have completed the exception form to let us know. 
 
Dining Halls and Other Services
If you stay on campus, you will have extremely limited in-person access to university facilities and services. The Rec and Goggin are closing tonight. Library hours are being reduced and the facility may close as early as Friday; most services are available remotely. The Armstrong Student Center will only be open for to-go food service and will no longer be a place to congregate. All dining services will be “to go” carry out only with seating areas roped off.  
 
Classes and Instructional Activities
It is not necessary to stay on campus for class, as there are no on-campus, face-to-face instructional activities. No students are required to attend face-to-face meetings, so if you are feeling pressure to remain for instructional activities (e.g. labs, studios, capstones), please notify the Provost’s Office at academicaffairs@miamioh.edu or your academic Dean’s office and it will be addressed. 
 
Student Employment
As we move to a remote work environment, most student employment positions will be deemed nonessential and will be temporarily canceled. Students should not expect to work during this period.  
 
Again, we strongly urge you to leave campus now while you are able to do so. We know that this is not the way anyone wanted this semester to go, and many of you are feeling distressed. However, our community’s safety and well-being is our top priority. Please know that while we may not be available in person, we are still here to support you remotely. Do not hesitate to ask for assistance and support as you need it.

Planned Social Events

All events are canceled. If you have questions or concerns regarding Formals, Philanthropy, or other activities please reach out to your chapter advisors and your chapter support contact in the Cliff Alexander Office.

Off-Campus Fraternity Facilities – IFC Chapters

Consult with your National Office/National House Corporation. Questions you may want to consider:

  • Should we close the facility? 

    • If so, when?

    • What if members have nowhere to go?

    • How will rent/board be handled?

  • Will the property be cleaned?

  • How will the property be secured?

On-Campus Suites – Panhellenic & NPHC Chapters

  • All sorority suites should be closed by 5:00 pm on Saturday, March 21, 2020.

  • Please follow standard suite closure procedures as you would when closing for summer or winter break; these procedures were mailed to all chapter presidents and advisors
  • All suite access will be removed after 5:00 pm on Saturday, March 21, 2020
  • If you need access to the suite after that date and time, please contact Elissa Christmas, christe@miamioh.edu, for temporary access.

New Member Education & Initiations – Panhellenic & NPHC Organizations

  • Consult with advisors and headquarters about online completion activities

  • Develop a communication plan with your New Members

    • New member presentations for NPHC organizations: communicate with our office to discuss options on dates/deadlines
  • Greeks Step Up: in-person GSU sessions are canceled 

    • a Canvas course will be created for all who have not completed the training 

  • We will work with all organizations should delays need to occur

Chapter Meetings

  • Use virtual meeting opportunities whenever you can - online tools and other technology can be helpful when business operations of chapters still need to continue
