Regional Red Brick Rewards (RBR) is a new rewards program for student organizations (orgs)  to help them reach their full potential. The program is a collaborative effort between the Regional Student Government (RSG) and the Regional Office of Student Activities and Orientation (ROSA). Student organizations will have different requirements to reach the different tiers of rewards. We will be working to consistently add new rewards to different levels. Regional Red Brick Rewards will be tracked via the HUB beginning the 2019-2020 academic year.

NOTE: For those rewards that state that you may request the reward, you are not guaranteed to receive the reward or to receive it to the fullest amount. A request will be reviewed by the appropriate parties.

Spring 2020 RBR Contingency:

Tier 1:

  • 1 Event Per Semester Registered on the Hub- Can Host digitally

Tier 2

  • Register 2 on-campus events per semester on the Hub- Can host digitally

Tier 3

Tier 4

  • Host 2 on-campus events in collaboration with another organization or office- Can host digitally
  • Participate as an organization in community service or philanthropy
  • Participate in Leadership Training for your organization- Can request through ROSA Hub page or another leadership workshop, 3+ of your organization should be in attendance

Tier 1

Tier 1 Requirements:

Complete Annual Registration

Annual registration is required of all organizations per the student handbook. This updates the officers, advisors, descriptions, etc. of the organization in the Hub. New organizations are asked to also meet with the Regional Office of Student Activities and Orientation (ROSA) to learn more about student organization policy and procedures.

New President and Treasurer Training

The Executive Board Canvas site is kept up-to-date and running. All members of your executive board should be submitted to rosa@miamioh.edu to be added to this site. This should be completed by the listed Executive Board members. (Required for president and treasurer, available to all officers.)

Entity Account

It is required to have an entity account for your student organization. Organizations will log into the HUB using the entity account to their Regional Red Brick Rewards. This can be accessed on the organization's home page on the HUB.  These accounts are free and will be used to communicate with the organization on behalf of ROSA office.

Treasurer successfully completes Buyway Training

To conduct financial transactions an organization is required to have a treasurer who has successfully completed the Buyway training in Canvas.

Required officers listed on the Hub (President, Treasurer, Advisor, Member)

These positions are required positions for all organizations on The Hub. These positions also must be viewable so when there is a need to contact a representative from the organization their information can be found. All three of these members AND the advisor MUST have accepted their invitation.

1 Event per semester registered on the Hub

It is required that student organizations submit all events for Hub registration at least 2 weeks before the date of the event. Organizations should submit all events to The Hub. We encourage you to track attendance at events and meetings through The Hub. 

Tier 1 Rewards:

HUB Page

A page on the HUB with access to manage your roster, submit events, view your organizational finances, promote your organization and events, hold elections, submit service hours, have a document repository and more.

Financial Accounts on Campus

An agency account where student organizations can deposit money from fundraisers, dues, etc and a UD account where money received from RSG Funding can be deposited. This includes access to Buyway to spend the money in your accounts Organizations will have four accounts total; 1 Hamilton UD account, 1 Hamilton agency account, 1 Middletown UD account, and 1 Middletown agency account. 

Reserve Rooms on Campus, and tables in Schwarm/Johnston through 25Live

The ability to reserve spaces for meetings, events, or other gatherings on campus through Formstack, 25Live and/or Google Calendar.

Ability to advertise on campus

Ability to register for table at ROSA fairs

Student organizations will have the ability to register for ROSA fairs: Fall Fest, Spring Fling, and the Student Organization Get Involved Fair.

Use of University Tax Exempt Status

The use of the university’s tax exempt status allows organizations to hold fundraisers as well not pay taxes on items from vendors.

President/Treasurer and Advisor Access to JHN129/SCH122

The officers listed in the HUB will receive access to the following student suites via tap card. These rooms can be booked depending on the ROSA schedule and availability.

Ability to request up to $1000 in RSG*

The ability to request RSG Funding. Organizations in Tier 1 will be capped at $1000 for this tier to be split amongst Event, Capital, and Administrative Funding as they need.

  • *Cannot receive RSG Funding if you are in the negative in either account or do not participate in the Funding Allocation Committee (FAC) Budget Allocation. 

Tier 2

Tier 2 Requirements:

Includes all of tier 1 plus:

Maintain accurate, up to date roster on the HUB

To be a member of your organization an individual must be listed on your roster. As such you need to maintain an accurate, up-to-date roster on the Hub with ALL members of your organizations added and previous members removed. (NOTE: You should not batch remove everyone and add new people; only remove people no longer with the organization.)

Attend 3 Student Organization Officer Training (SOOT) Workshops

SOOT Workshops are presented by the Regional Office of Student Activities & Orientation and are held many times throughout the semester. Topics for SOOT workshops can be on a number of different topics of interest to student organizations (will be tracked automatically through the HUB).

Register 2 on-campus events per semester on the HUB, at least one of which should be digitally compatible.

It is required that student organizations submit all events for Hub registration at least 2 weeks before the date of the event. Organizations should submit all events to The Hub, including digitally compatible links and instructions. (Fully digital events, not meeting, will also count towards this requirement.) We encourage you to track attendance at events and meetings through The Hub.

Attend a Diversity Training

Your organization has documented attendance at a diversity training. This diversity training session or program should intentionally be designed for constructive dialogue and learning. At least 3 members of your org should be present.

List three officers on the Hub, plus an advisor

You have your president, treasurer, and advisor listed on The Hub, plus another officer of your choice (Ex: Vice-President, Secretary, Webmaster, social chair, historian, etc.) These positions also must be viewable so when there is a need to contact a representative from the organization their information can be found.

Tier 2 Rewards:

Ability to request up to $3000 in RSG funding

Organizations in Tier 2 will be capped at $3000 for this tier.

Ability to request a student organization locker/storage drawer from ROSA

Student organizations who fall into this tier can request storage space from ROSA on a first-come first-serve basis. Organizations will be assigned one drawer in Middletown and one locker in Hamilton.

Ability to access free student organization printing in the ROSA office

Student organizations who fall into this tier are able to print a limited amount of student organization related materials in the ROSA office.

Tier 3

Tier 3 Requirements:

Includes all of tier 1 & 2 plus:

Host 1 on-campus event in collaboration with another organization or office

Student organizations should do something to engage the larger campus or community. Whether it is hosting an event open and promoted to the whole campus and/or community or if it is doing a service project to engage the community, organizations should do at least one collaborative event within 1 academic year. This cannot be combined with any other tier requirements, but is encouraged to be digitally compatible if possible.

**Department organizations cannot count sponsoring their department as a partner.

Attend 3 total SOOT Workshops Total

SOOT Workshops are presented by the Regional Office of Student Activities and are held many times throughout the semester. Topics for SOOT workshops can be on a number of different topics of interest to student organizations. (Totaling 6 SOOT workshops for the academic year.)

Submit for the Student Organization Awards

The Regional Office of Student Activities & Orientation gives annual awards (during the spring) for active student organizations and their advisors at the Regional Awards Ceremony each year. Student organizations should submit at least one award nomination.

Officers listed on the Hub of minimum 4 officers plus an advisor

You have your president, treasurer, and advisor listed on The Hub, plus two other officers of your choice (Ex: Vice-President, Secretary, Webmaster, social chair, historian, etc.) These positions also must be viewable so when there is a need to contact a representative from the organization their information can be found.

 

All general meetings registered on the Hub

It is required that student organizations submit all events for HUB registration at least 2 weeks before the date of the event. Organizations should submit all events AND meetings to The HUB. We encourage you to track attendance at events and meetings through The HUB.

Tier 3 Rewards:

Ability to request $5000 in RSG funding

Organizations in Tier 3 will be capped at $5000 for this tier.

Ability to receive up to $250 for conference funding

Organizations in Tier 3 can receive up to $250 annually from the Regional Deans Office toward group attendance at a conference for professional development. A minimum of 2 members should participate in the conference. This funding will NOT interfere with your Funding Allocation Committee budgetary requests.

Tier 4

Tier 4 Requirements:

Includes all of tiers 1-3, plus:

Transition Binder with reports on events and proceedings

Transitions are a critical part of maintaining success from year to year for an organization. Binders may be physical binders, Google Docs, or in any number of formats but should contain important information to help prepare your new leadership team to face the challenges of the new year. Student Activities has some sample materials that can be used to help. This binder should be submitted via the HUB Regional Red Brick Rewards tracking system (Pathways). Binder can be physical, but for organization purpose only.

Attend 4 SOOT Workshops Total

SOOT Workshops are presented by the Regional Office of Student Activities & Orientation and are held many times throughout the semester. Topics for SOOT workshops can be on a number of different topics of interest to student organizations. (Totaling 10 SOOT workshops for the academic year.)

Host 1 additional campus event in collaboration with another organization or office

Student organizations should do something to engage the larger campus or community. Whether it is hosting an event open and promoted to the whole campus and/or community or if it is doing a service project to engage the community, organizations should do at least one thing each semester for more than their organization. This requirement cannot be combined with other tier requirements, but does build on the Tier 3 requirement. Digital compatibility is encouraged. (Totaling 2 collaborative events for the academic year.)

**Department organizations cannot count sponsoring their department as a partner.

Participate as an organization in community service or philanthropy

Your organization completes documented community service together, or hosted a philanthropic effort to benefit another local organization. At least 3 members of your org should be participating.

Participate in Leadership Training for your organization

You hosted or participated in a leadership training for your organization. Whether representatives of your organization attend the Regional Leadership Co-Curricular Certificate Program events, you host a leadership training for new members or any number of other requirements, your organization should be actively working on the development of your members and leadership team. At least 3 members of your org should be present.

Exemplify the Code of Love and Honor

The Code of Love and Honor symbolizes the values of Miami University. How does your organization display those values? Each year your organization should evaluate how you do so and turn in a written statement on the ways you exemplify the Code of Love & Honor. Tier 4 Rewards:

$100 towards a retractable banner, tablecloth, vinyl banner or similar

Annually, Regional Deans Office will provide organizations in Tier 4 a bonus $100 funding towards a capital item to promote their organization. Examples could include a retractable banner, tablecloth, vinyl banner, etc. This additional funding will not interfere with your Funding Allocation Committee budget request.

Ability to request any amount of funding

Organizations in Tier 3 will be capped at $10,000 for this tier.

Student Organization Declining Balance Card

Student Organizations will receive Declining Balance Card upon availability through Accounts Payable. These will be ordered by ROSA. Student Organization should still follow BuyWay procedures to load card.

FAQs

Am I required to complete Red Brick Rewards?

If you are a registered student organization (not an affiliated organization, club sport, fraternity or sorority, etc.), then yes, you must complete a Regional Red Brick Rewards each semester. If you are an affiliated organization that wishes to apply for RSG Funding, you also must complete Regional Red Brick Rewards.

Am I required to participate in the president/treasurer training?

Yes, as there are many important topics covered about RSG Funding, event planning and many other topics including changes to policies, especially with the impact of COVID on our programming processes.

How can I check our status in Red Brick Rewards?

Once you are enrolled in the Paths for RRBR on the Hub as an entity account, you will be able to check your status at any time through that portal.

Our HUB Path says we do not have a certain requirement, but we do. Why?

First, make sure you have submitted all of the correct items to the Path for RRBR on the Hub. (Also, make sure you are logged in as your entity account!) If you've submitted something and it still does not show up, it may not have been checked through our office. Please give us up to 3 weeks in reviewing submissions due to high volume.

My org doesn't get RSG Funding. Do we need to do the Buyway training?

If your organization has a financial account on campus, then your treasurer must complete Buyway training. If you have no financial account on campus (Not sure? Check on the Hub by visiting Manage Org, then finance, then accounts), you may ask for an exception. If you have an account, you must complete this requirement.

I have something I would like to submit as an alternative for one of the requirements. How do I get that approved?
