FAQ for Accepted Students
Billing Due Dates
Co-Sponsored programs
The $3,000 deposit is due in the Miami study abroad application and can only be paid via card or eCheck.
- Fall deadline is February 1st for Florence and Barcelona, and March 1st for all others.
- Spring deadline is September 1st for Florence and Barcelona, and October 1st for all others.
- The remainder of the program fee, the $175 study abroad administration fee, and tuition are added to the bursar account and are due based on One Stop’s general tuition deadlines.
Exchange programs
- All fees associated with the program are added to the bursar account and are due based on One Stop’s general tuition deadlines.
Approved Non-Miami
- The only fee that students pay to Miami is the $175 fee, which is added to the bursar account and due by One Stop’s general tuition deadlines.
Consortium/Contractual Agreement
- This form is ONLY for FAFSA aid. This is NOT course approval.
- The form is now electronic and can be found on One Stop’s list of commonly used forms.
- Students who do NOT need federal aid but want course approval just need to get email approval from their advisors.

Course Pre-Approval
Students are encouraged to start EARLY on this process; it can be time consuming.
- students need to contact the Lead Departmental Advisor (LDA) with course materials, descriptions, syllabi, etc. to get the courses approved.
- Miami Plan courses: students have two options:
- For Pre-Approval, students can contact the corresponding LDA to the subject area of the courses they’re taking. For example, a student taking a Political Science course for Intercultural Perspectives would contact the Political Science LDA for pre-approval.
- Students can go ahead and take the course, then submit the Petition to Modify Miami Plan requirements when they return. This is not advised, because there is no guarantee that the course will be approved.
- Thematic sequence: students need to work with their academic advisor to complete the Self-Designed Thematic Sequence Proposal.
- Elective courses: students do not need approval; courses will automatically transfer as electives.
- FSB courses: students need to submit the FSB Petition to Validate Transfer Credit, which is automatically routed to the LDA of whichever major the student indicates on the petition.
Deadlines
- Each program could have a different deadline. Students are encouraged to find the deadline for their specific program on our website.

Financial Aid and Scholarships
- Study Abroad related scholarships come from multiple sources, so please contact the Education Abroad team (educationabroad@miamioh.edu) regarding the specific scholarships you are interested in.
- Questions about federal loans and grants should be directed to One Stop.
FSB Programs
- FSB Global administers their own faculty-led programs. If you are inquiring about an application for an FSB program, please contact FSB Global: fsbint@miamioh.edu
Housing
Before program starts:
- Students living on-campus and needing to get out of an on-campus contract for their term abroad need to complete the Not Returning to Housing Next Semester form. Any questions regarding the form or the approval process should be directed to Residence Life.
- For students living off-campus and needing to find a sublease, we cannot help directly, but we recommend looking at the following:
- Check out the Student Life: Off-Campus Housing Search blog to see if you can find a sublease there.
- Talk to your leasing agent or company to see if they have a list of students looking to sublease.
- Housing in your program:
- Housing is different for each program. We encourage you to look at the online brochure to see what the program offers.
- Students who want to apply for Independent Housing have to complete the Independent Housing Petition Form. These are approved by the director and any questions should be directed to her (nelso254@miamioh.edu).
Refunds
- Tuition: Tuition is refundable as long as a student cancels their program before the start of the term.
- Program fees:
- Program fees are non-refundable unless Miami or the provider cancels the program. Students withdrawing of their own accord are able to submit an Education Abroad Program Cancellation Request, but refunds are not guaranteed.
- $175 Study Abroad Fee:
- Once this fee is applied to the student’s bursar account (which happens at the same time students are registered), it is non-refundable.
Transcripts and DAR Inquiries
- Obtaining transcripts for the application process:
- Unofficial transcripts: these can be screen-printed from the student’s BannerWeb account and saved as a PDF.
- Official transcripts: these must be ordered from the National Student Clearinghouse. Directions to do this are found on One Stop’s website.
- Obtaining transcripts after program completion:
- Official transcripts must be ordered from the provider and sent to the Transfer Credit Evaluation (TCE) office within the Registrar.

- Once TCE has the transcript, courses are added to the student’s DAR.

- If courses on the DAR do not automatically fulfill the requirements that the student got approved, they will need to do the following:
- Major/minor courses: contact their department(s)
- Miami Plan courses: complete the Petition to Modify Miami Plan Requirements
Transfer Credit and GPA
- Transfer credit does not affect a student’s GPA; they are treated as pass/fail courses. However, it is possible that the final letter grade could appear on a student’s transcript.
Visas
- Luxembourg:
- Visa questions should be directed to the Luxembourg team (luxembourg@miamioh.edu)
- Transfer Credit:
- Miami cannot assist students with the visa process. Students need to work with their providers, who have dedicated visa experts on hand.
- The only things that Miami can/does assist with in this process:
- Printing home university letters
- Taking visa/passport photos
